REGISTRATION ELIGIBILITY DOCUMENT RETENTION POLICY

Graduates submitted to CDR in REPS (Post-March 1, 2016)

Since the inception of REPS, CDR has required that all registration examination eligibility documentation for graduates be uploaded into REPS. CDR is required by the National Commission for Certifying Agencies (NCCA) to be the primary source of degree verification for all candidates applying for eligibility to take the Registration Examination for Dietitians or Dietetic Technicians. Since all required documents are uploaded and retained in REPS, CDR does not require Accreditation Council for Education in Nutrition and Dietetics (ACEND) academic or supervised practice programs to retain documents. However, program directors must adhere to ACEND policies regarding on-site graduate document retention (see below).

Verification Statements: ACEND requires that accredited programs retain signed Verification Statements for all program graduates indefinitely. Verification Statements may be stored as a paper document or electronically. If documents are stored electronically they should be scanned in color so that authenticity can be verified.
 
Original, Final Transcripts: All programs must have graduates’ official transcripts indicating degree completion available for ACEND site visits. Transcripts may be stored as a paper document or available electronically. Transcripts must be retained for graduates for seven years. After seven years, transcripts may be destroyed or dealt with according to institutional policies.

Graduates submitted to CDR prior to REPS (Pre-March 1, 2016)

CDR requires that all programs retain electronic or paper records of graduate eligibility submission documents. If you store records electronically, documents should be scanned in color so that authenticity can be verified. If you do not have a color scanner, please stamp the documents as original before scanning. If graduate documents are stored by class completion date, a cover sheet should be included with all records indicating which students are contained in the pdf file. Documents should be retained indefinitely.

CDR retention requirements for graduate documents, by program type:

  • Dietetic Internship (DI)*
  1. Signed Registration Eligibility Application
  2. Signed DI Verification Statement
  3. Signed DPD Verification Statement
  4. Signed RDNE and RDE Misuse Form
  5. Official Transcript of highest degree earned (including date of degree conferral)

 

  • Coordinated Program (CP)*
  1. Signed Registration Eligibility Application
  2. Signed CP Verification Statement
  3. Signed RDNE and RDE Misuse Form
  4. Official Transcript of highest degree earned (including date of degree conferral)

 

  • Dietetic Technician Program (DT)
  1. Signed Registration Eligibility Application
  2. Signed DT Verification Statement
  3. Signed NDTRE and DTRE Misuse Form
  4. Official Transcript of highest degree earned (including date of degree conferral)

 

  • Didactic Program in Dietetics (DPD)*
  1. Signed Registration Eligibility Application
  2. Signed DPD Verification Statement
  3. Signed NDTRE and DTRE Misuse Form
  4. Official Transcript of highest degree earned (including date of degree conferral)

*ISPPs should follow the same retention policies with ISPP Verification Statements being retained and if applicable, the DPD Verification statement.
